Executive Assistant to Founder/CIO

Headquartered in Hong Kong with a global presence, our client is a progressive, fast-moving hedge fund manager. The Founder is a high-caliber, globally-minded leader who maintains residences across the world and travels constantly.

More than just an Executive Assistant, we are seeking a highly trusted, skilled and proactive gatekeeper, a logistical mastermind, and a strategic partner who can ensure their life runs like clockwork, no matter which time zone they wake up in.

About The Role
 

Based in Central, the Executive Assistant will report directly to and provide 1:1 support to the Founder & CIO. The role involves managing a complex, multi-timezone calendar, coordinating extensive global travel logistics, and liaising with internal departments on investor relations and other important business activities. The Executive Assistant will be responsible for ensuring the Founder is on-time, on-track, and fully prepared for all daily commitments.
 

Key Responsibilities
 

  • Deliver comprehensive executive and personal support to the Founder on a dedicated 1:1 basis, ensuring seamless management of both professional and personal matters.

  • Take full ownership of the Founder's schedule, coordinating high-volume meetings, appointments, and complex travel arrangements across multiple time zones.

  • Oversee end-to-end travel logistics, including itinerary planning, flight and accommodation bookings, ground transfers, restaurant reservations, and visa processing as required.

  • Manage a range of personal administrative tasks, such as coordinating property maintenance, handling insurance-related matters, and arranging family travel.

  • Act as a primary point of contact, facilitating clear and timely communication between the Founder and internal investment teams, business partners, and global stakeholders.

  • Process expense reports and handle monthly claims submissions with accuracy and timeliness.

  • Maintain a secure and well-organized system for storing confidential documents and sensitive information.

  • Serve as the Founder's trusted point of contact for all operational and administrative needs, addressing issues proactively and efficiently.

  • Additional duties and ad-hoc projects as assigned.

About You
 

  • University degree preferred; formal secretarial training is an advantage.

  • 5 to 8+ years of relevant experience in an executive support capacity.

  • Proven track record of supporting senior leadership within a dynamic, fast-paced corporate environment.

  • Strong ability to adapt to changing priorities and exercise sound judgment in high-pressure situations.

  • Meticulous attention to detail, excellent recall, and practical problem-solving skills.

  • Self-motivated with a strong sense of accountability and a proactive approach to work.

  • Near native/fluent English (written and spoken); Japanese language highly advantangeous.

  • Proficiency in Microsoft Office and Excel spreadsheet applications essential
