About The Role
 

This is a high-impact Senior Office Manager position, offering the opportunity to serve as a strategic operational partner to the Hong Kong Managing Director during an exciting period of growth including a major office relocation. Working in a lean, fast-paced environment, you will seamlessly balance high-level executive support with hands-on office leadership.
 

Key Responsibilities
 

Executive Support:

  • Provide direct, responsive support to the Hong Kong MD, managing a dynamic and ever-changing schedule with flexibility and initiative.

  • Take full ownership of diary management, inbox prioritisation, and stakeholder coordination to ensure the MD's day-to-day operations run smoothly.

  • Arrange complex travel logistics, including flights, accommodation, and ground transportation for the MD and senior team members.

  • Process expense reports and maintain a signatures-pending register for all documents requiring Director-level approval.

  • Draft and prepare presentations, reports, briefing materials, and key business correspondence.

  • Serve as a trusted point of contact between the MD, senior leadership, and external partners, bringing clarity and structure to a high-volume environment.
     

Meetings & Events:

  • Oversee end-to-end coordination of internal and external meetings, as well as key strategic events in Hong Kong; from agenda setting and material preparation to minute-taking and action item tracking.

  • Partner with the Office Manager to support wider event coordination across the Hong Kong office.
     

Office Operations & Leadership:

  • Take full ownership of the Hong Kong office relocation project, managing the end-to-end process including post-move stabilisation, with support from the Sydney Office Management team.

  • Supervise, mentor, and develop the Office Manager.

  • Manage vendor relationships and contracts, and support the MD with budget monitoring and tracking.

  • Ensure compliance with HK Occupational Safety & Health Ordinance and Labour Department requirements, and oversee physical security and access control measures.

About You
 

  • 8–10+ years of relevant experience in office management or executive support roles—we value real ownership and tangible impact over titles or years alone.

  • Prior experience supporting senior-level executives, with a strong track record in end-to-end diary and travel coordination, as well as managing sensitive and confidential correspondence.

  • Demonstrated success in leading a full-scale office relocation or significant facilities project from planning through to completion.

  • Skilled in managing vendor relationships and negotiating contracts effectively.

  • Exceptionally organised, with the ability to balance multiple high-priority tasks simultaneously and deliver under pressure.

  • Strong communicator, both written and verbal, with the confidence to engage and influence senior stakeholders at all levels.

  • Fluent in English; working proficiency in Cantonese and/or Mandarin is a significant advantage.

  • Highly discreet and professional when handling confidential or sensitive information.

  • Previous experience in a lean financial services or entrepreneurial setting such as hedge fund, private equity, venture capital, family office, or fast-growing start-up is highly regarded.
